file structure. Other scanning services typically use proprietary imaging
software to scan documents. In that case, the customer must either purchase the
same proprietary software or the CDs must contain not only the indexing
information but also the viewer portion of the proprietary software in order to
be used by the customer.
The CD-Rs
provided by OSC can be used in any Windows based computer. Furthermore, the
contents of our CD-Rs can be copied to a shared folder (directory) on a network.
This allows any network workstation that has permission to the shared folder
(directory), access to the files and the ability to search for a specific one
using a keyword and to view the pages contained within. In fact, every
workstation on the network could look at the pages within the same file
simultaneously, yet independent of each other. This cannot be done when a
proprietary software package is used by a scanning service unless the customer
chooses to pay annual software licensing fees and seat license fees and/or
concurrent user license fees. There are no license fees (initial or annual) to
pay with our system should you wish to upload your CD-Rs to your network.
At the customer’s
request, we can leave space on each CD-R in case additional files need to be
added to a particular CD-R and/or additional pages need to be added to a file
that has already been created, indexed and written on a particular CD-R. Other
scanning services may not be able to provide this service.
We can provide duplicate CD-Rs for
distribution and/or security/back-up/disaster recovery. Should the "master" be
updated, then previously made duplicates can be updated. Other scanning services
may not be able to provide this capability and previously made duplicates would
have to be thrown away if the "master" is updated.
When
we scan records for customers using the Canon CD-4070NW, our customers can choose
at any time to scan new records to their system without having to use
proprietary imaging software. If customers select a scanning service that uses
proprietary imaging software, then, in order to have new records scanned and
integrated into the existing system, the customer must use the same scanning
service or find another one using the same proprietary software. Conversely, if
a customer wants to start scanning new records in-house, after having used a
scanning service that used a proprietary system, then, in order for the new
records to integrate into the existing system, the customer, of course, has to
"purchase" the proprietary imaging software and typically pay annual software
licensing fees.
If a proprietary
imaging software solution is purchased and you are now "on the hook", there are
two telephone calls you hope you will never receive. The first one is:
"We are sorry to inform you that the developer of the
imaging software you have purchased has made a business decision to get out of
imaging, you are now on your own and good luck."
The second one is:
"We are calling to inform you that the
version of the software that you are using is no longer supported, therefore,
in order for you to get continued support, you must pay $X,XXX.XX for the
current version and, oh, by the way, we have not received your last annual
software license fee/seat license fees/concurrent user license fees, which you
are also required to pay in order for us to help you if you have a problem
with our proprietary software of which you do not have the source code or a
way of fixing a problem if there is a bug in the software."
If you are currently using proprietary imaging
software, our office can convert you out of it and into our non-proprietary
system, and then if you choose to do your own scanning or to network your
system, you do not have proprietary software issues with which to deal.
