Scanning vs. Photocopying Documents

Using the Canon CD-4070NW

If an office needed to copy 20,000 documents and distribute 4 sets of copies, the cost would be $.04 per copy using a commercial copying service. This equals $3,200.00 (4 x 20,000 = 80,000 x $.04 = $3,200.00). Use your figures, if your cost is different.

If an office owned a CD-4070NW (or were lease/purchase it for about $225.00 per month) and chose to scan the documents in-house, the cost to scan 20,000 documents and make 3 duplicates is as follows: One CD holds 20,000 images; therefore, only 4 CDs are needed, one for the original copy and 3 duplicates. The CD-4070NW scans at 43 images per minute. At just 25 images per minute, 20,000 documents could be scanned in 800 minutes or in a little over 13 hours. At $15 per hour, as an example, the labor cost would be $200.00 and the cost of the CDs would be approximately $2.00 ($.50 x 4 = $2.00). There is no labor cost to make a duplicate because the CD-4070NW duplicates a CD with just the push of a button. Therefore, if an office chose to scan the documents in-house with a CD-4070NW, the total cost would be $202.00 ($200.00 + $2.00 = $202.00).
 

Needless to say, there is a big difference between $202.00 and $3,200.00!
