Reasons for Its Success Canon CD-4070NW Digital Document Imaging System
Many organizations have ordered additional systems after the initial one was purchased because of the success of this product. The Florida Department of Highway Safety and Motor Vehicles has thirteen (13) of these systems - all of which were ordered one at a time. Our system obviously works or agencies would not be placing repeat orders. Some organizations have replaced proprietary imaging systems with this product. To our knowledge, no other imaging system is used within our territory by as many different organizations. Some of the standard features that have made Canon’s Document Imaging System so successful are as follows: 1. System is inexpensive (Cost is less than $9,000.00 which includes not only the equipment but also installation, training, system and network integration, and application development. Alternatively, system can be leased for less than $200.00 per month.) 2. System is incredibly easy to use and support 3. No initial and no annual software license fees to pay 4. No initial and no annual charge for seat licenses or concurrent users on a network 5. Documents can be stored on CD-Rs, DVDs and/or to a network drive 6. CD-Rs that can be directly produced by the system can be used on any computer that has a CD drive and uses any version of Windows – all without proprietary software required by other systems 7. System is not proprietary because windows file structure is used for indexing 8. Automatically indexes using zone OCR & barcode recognition 9. Automatically indexes checks, share drafts, etc. using magnetic ink character recognition (MICR) via OCR (Optical Character Recognition) 10. Uses multiple index fields and drop down lists for faster indexing 11. Provides post indexing capability for faster through-put 12. Scans documents up to 10” x 14” and interfaces with scanners that scan larger sizes including engineering size drawings 13. Scans up to 82 images per minute (letter size documents in portrait and in duplex mode) 14. System interfaces with Canon, Minolta and Kodak microfilm scanners used by most organizations

Scans in color, B/W and grayscale and has additional scanning modes to optimize image capture, for example, Advanced Text Enhancement for improved readability, Color Dropout for increased OCR accuracy, and Color Enhance 17. Uses industry standard TIFF, JPEG, PDF and encrypted PDF with both high and standard compression options for document capture 18. System provides front-end or back-end OCR conversion, copy and paste functionality and key word searching across all scanned pages 19. System has de-skew, border removal, patch code (function sheet) detection and other convenient functions 20. System auto detects page sizes up to 10” x 14” and allows batch scanning of documents of mixed sizes and thicknesses at maximum speed 21. Preview command is available to pre-determine quality of document capture at selected setting before saving a scanned image to a file 22. Provides front-end, page by page, visual verification that images have been successfully captured rather than mandatory second step back-end verification 23. System is ADA compliant in that images in PDF files are read out loud by any workstation equipped with speakers 24. System has Scan to E-mail capability 25. System can be interfaced with all popular database software packages so that documents associated with a database record can be automatically indexed and linked to the record for seamless retrieval from the database record screen 26. Other types of files can be easily “filed” along with documents that are scanned and indexed by the system. For example, using Windows Explorer, retrieval of an individual personnel records file will display not only the TIF and/or PDF file containing the images of scanned documents but also a Word document, Excel spreadsheet, Access database, audio and video files, and any other file with the same indexing criteria 27. An optional Canon Endorser ED-500 can be added to the system for imprinting serial numbers, stamps, and dates onto the back side of scanned checks, share drafts and other documents. The imprint position is operator adjustable and conforms to Federal Reserve Bank regulations for check endorsement. 28. System is portable and an optional carrying case with wheels is available 29.
